Your privacy
We collect, use, and protect your personal information to the highest standards of care and security — in accordance with Ontario's Personal Health Information Protection Act.
Your trust is essential to the care we provide. This policy sets out plainly what we collect, why, how it is protected, and what rights you have over it.
We protect personal health information in accordance with the Personal Health Information Protection Act, 2004 (PHIPA) and all applicable Canadian privacy legislation.
Privacy policy details
What information do you collect? +
The personal information necessary to provide dental care: your name, contact information, date of birth, health card number, dental and medical history, diagnostic images and records, insurance information, and treatment records. It is collected directly from you or your legal guardian during consultations, appointments, and on intake forms.
How do you use my information? +
To provide and coordinate your dental care, communicate about appointments and treatment, process insurance claims, comply with legal and regulatory requirements, and improve the quality and safety of the care we provide.
How do you protect my information? +
Through physical, administrative, and technical safeguards against unauthorised access, disclosure, or misuse. Electronic records are held on secure, encrypted systems and physical records in locked, access-controlled areas. All staff receive training on privacy obligations and information security.
Do you share my information with others? +
We do not sell, rent, or share your personal health information with third parties for marketing purposes. Information may be shared with other healthcare providers involved in your care, with your consent; with insurance companies to process claims; and with regulatory bodies where required by law.
What rights do I have? +
You may access your personal health information and request corrections, withdraw consent for certain uses or disclosures subject to legal limitations, file a complaint with the Information and Privacy Commissioner of Ontario, and be informed of any breach involving your information.
How long do you keep my records? +
For the period required by law and by the standards of the Royal College of Dental Surgeons of Ontario. After that retention period, records are destroyed securely using professional document destruction services.
How do I request access to my information? +
Contact the Privacy Officer at the practice. We will respond within thirty days, in accordance with PHIPA requirements.
What if I have a privacy concern? +
Contact the Privacy Officer here first. If your concern is not resolved, you may file a complaint with the Information and Privacy Commissioner of Ontario on 1-800-387-0073.
Cookies and how we measure this website
This website counts visits so we can see which pages people actually find useful and which ones are not doing their job. It tells us things like which page you arrived on, roughly where in the world you are, and whether you came from a search engine or a link. It does not identify you by name, and none of it is connected to your dental records or anything you have told us in the practice.
Three services do this work, and all three are set up to run only on this website:
- Google Analytics 4 — reports on pages viewed and how people move through the site. It sets cookies in your browser.
- Google Tag Manager — a container that lets us add or change measurement tools without rewriting the website. It sets cookies in your browser.
- Plausible — a second, simpler measure of the same thing. It sets no cookies and stores no personal data.
The map showing where the practice is comes from Google Maps, and it sets cookies from Google as well. It does not load at all if you have turned it off.
None of this is necessary for the site to work, and you are free to switch it off. If you do, none of the three is asked for anything at all — not blocked after the fact, simply never requested, and the map stays off too. The typefaces this site is set in are served from our own server, so your browser does not contact Google simply to display the page either. The setting is remembered in your browser, so you would need to set it again on a different device or after clearing your browsing data.

Personal health information is confidential and sensitive, and every team member is trained in privacy obligations and secure handling of patient information.
